AI Use Policy

✓ Our Core Commitment

Your data is never used to train third-party AI models. This is backed by contractual agreements with all AI API providers we use. It's not a preference setting — it's a contract.

1. What AI Does in AIOpsNav

AIOpsNav uses AI at two key points in your experience:

  • Assessment scoring: Your diagnostic answers are analyzed by an AI model to generate scored results across six operational dimensions.
  • Recommendations: AI generates prioritized recommendations tailored to your assessment responses and company profile.
  • Benchmarking context: AI summarizes how your scores compare to anonymized peer data in your industry and size cohort.

AI is also used internally for product development tasks that never involve your customer data.

2. Which AI Models We Use

We currently use:

  • OpenAI GPT-4 class models via OpenAI's API (not ChatGPT) for assessment scoring and recommendation generation.

All AI processing occurs via API calls governed by enterprise-grade data processing agreements. We do not use consumer-facing AI products (ChatGPT, Claude.ai, etc.) to process your data.

We will update this policy if we add or change AI providers. Material changes will be communicated with at least 14 days notice.

3. What Data Is Sent to AI Models

What IS sent

  • Your assessment responses (answers to diagnostic questions)
  • Your stated company size, industry, and role
  • Contextual prompts we construct to generate your scored report

What is NOT sent

  • Your name, email address, or personal identifiers
  • Your company name
  • Payment information
  • Communications with our support team
  • Any data from other users or companies

We strip personally identifiable information before sending assessment context to AI models. Your answers are sent as business context, not as your identity.

4. Training Data Policy

✓ No Training, No Exceptions

Customer data submitted through AIOpsNav is never used to train, fine-tune, or improve AI models by OpenAI or any other third party. This is enforced through our Data Processing Agreement with OpenAI, which explicitly prohibits the use of API inputs for model training.

How this protection works:

  • AIOpsNav uses OpenAI's API, not consumer products. Enterprise API usage is contractually excluded from training pipelines.
  • Our DPA with OpenAI is available upon request for enterprise customers.
  • We maintain logs of AI API calls for security auditing purposes. These logs are retained for 90 days and are not shared.

5. How Your Data Flows

    You complete an assessment and submit your responses.

    Our server strips any PII and constructs a structured prompt from your assessment answers.
  3. 3
    The prompt is sent to OpenAI's API over an encrypted connection (TLS 1.3).
  4. 4
    OpenAI processes the prompt and returns scored results and recommendations.
  5. 5
    We combine AI output with your raw responses to generate your final report, which is stored in your account.

    OpenAI does not retain your data for training per our DPA.

6. Opt-Out Options

Opt out of AI-powered scoring

If you prefer not to have your assessment responses processed by AI models, you may request a rules-based scoring mode. Rules-based mode uses deterministic scoring criteria instead of generative AI. Contact support@aiopsnav.com to enable this option.

Note: Rules-based mode produces less nuanced recommendations and cannot generate narrative explanations. The scored dimensions and benchmark comparisons remain available.

Opt out of benchmarks

Your anonymized responses may contribute to industry benchmarks. You can opt out of benchmark contribution in account settings, or by emailing privacy@aiopsnav.com. Opting out does not affect your access to benchmarks — you can still see peer comparisons, you just won't contribute to them.

7. AI Accuracy and Limitations

AI-generated assessments are decision-support tools, not authoritative verdicts. See our Disclaimer of Professional Advice for the full scope of AI accuracy limitations.

  • AI models may make errors, omit nuance, or reflect outdated information.
  • Assessment scores are based on your inputs — garbage in, garbage out applies.
  • Recommendations should be evaluated by qualified professionals before implementation.

8. Changes to This Policy

If we change AI providers, change what data is sent to AI systems, or modify training commitments, we will notify you by email at least 14 days before the change takes effect. You may opt out of the new terms by closing your account.
